The design and layout

We take your guest list and table assignments and design a layout that balances the board. Crowding kills readability. Generous spacing keeps the information clear and the board elegant. If you have 18 tables, they’ll breathe on the board. If you have 8, they’ll be positioned so the eye moves naturally across the wood.

We work backward from your list. How many guests per table, and are the tables named after people, places, or dates? If something doesn’t fit, we’ll ask about abbreviating it during the proofing phase rather than guess.

Then we send you a full-resolution digital proof: exactly how the board will look, to-scale, with your tables positioned as they’ll appear in the finish you picked. You review, suggest adjustments (more spacing, different arrangement, font size changes), and we iterate until you approve.

The engraving

Once you approve the proof, we engrave the board. Each table name and seat assignment goes down at 1.5mm depth: deep enough to cast a shadow in reception light, deep enough that people reading from 10 feet away can see the mark. The laser engraves character by character, holding sharp edges and consistent depth across the whole board, even if the text runs 24 inches wide.

The stand is pine: sturdy and naturally blonde. It won’t tip under the weight of a finished birch board, even if a guest leans against it mid-reception.

Wood choice

Both options are the same panel: void-free Baltic birch. What changes is the finish, not the tree.

Walnut-stained brings warmth and contrast: a deep, almost chocolate tone carried edge to edge. The engraving sits at 1.5mm depth and reads crisp and bold against the dark face, so guests can read table names from ten feet away.

Natural birch reads brighter and more formal, a warm, even face with none of the weight the stain adds. The engraving sits a touch lighter on the surface, a subtler read than the stained version but still clear from ten feet.

Five years after your wedding, this board will sit in your home (in the dining room, the study, on a shelf) as a solid piece that still carries every guest’s name.

Layout styles

Centered columns send tables flowing down the board in 2–3 neat columns, formal and organized. It’s best for traditional receptions where the seating arrangement is intentional and you want people to focus on finding their table in a clean, predictable way.

A scattered, organic layout positions tables around the board in a casual pattern. This works if you’re comfortable with asymmetry and want a less structured feel. Guests still find their table, but the board doesn’t announce formality.

A two-column, formal layout is a classic restaurant-style arrangement with left and right columns, perfectly mirrored. It splits the guest list down the middle and works well for weddings where the organization itself is part of the aesthetic.

We adjust spacing to fit your table count and your chosen style. Fewer tables means more breathing room. More tables means tighter spacing. Every approved proof is readable, no exceptions.

Alphabetical, or grouped by table

There are two ways to order the names on a seating chart, and couples usually have not thought about it until the proof arrives. It is worth deciding early, because it changes the whole shape of the board.

Grouped by table is the arrangement most people picture. Each table gets its own heading and its own short list underneath, so the board reads as a map of the room. A guest finds their table, then sees who else is at it, which is half the pleasure of walking up to the sign. It suits receptions where the tables mean something: the college friends, the cousins, the people from the shop.

Alphabetical by last name is the arrangement that moves a line. Every guest is one entry with a table number beside it, so nobody reads past their own name. At a reception where a hundred people arrive inside twenty minutes, that difference shows up as a shorter queue at the entrance rather than a cluster of guests reading every column.

You do not have to choose blind. Tell us your preference with your list, or tell us you are undecided and we will lay the board out both ways in the proof. This is the first line on the board, so keep it short, one to four words. Next comes your table list. Paste the table names and their assigned guest names (or counts) in a format like “Table 1 / Sarah, Mike, Jennifer, David” or “Table Oak / 8 guests”. Either works. Then tell us your finish choice, walnut-stained or natural birch, and your layout style: centered (columns), scattered (organic), or two-column (formal).

Once we have this, we’ll design and send a proof within 24 hours. You’ll see the exact positioning, font size, and balance before anything gets engraved. Make adjustments as needed. This is your reception sign, and it should be exactly right.
